This career portal (hereinafter “Taleo”) is a website of the human resource departments of the affiliated companies of the Baloise Group (hereinafter “Baloise Companies” or “we”), which is operated on behalf of the participating Baloise Companies by Baloise Insurance Ltd, Aeschengraben 21, CH-4002 Basel, with the assistance of the service provider Oracle Taleo (the Oracle Corporation, represented by Oracle Software [Schweiz] GmbH, Täfernstrasse 4, 5405 Baden Dättwil).

Job vacancies at the Baloise Companies are not deemed to be published in the United States of America.


Basic principles

 

The processing of your personal data (hereinafter “Data”) is essential and indispensable for the purpose of concluding a contract with the Baloise Companies. Your trust is very important to us, which is why the protection of your privacy is our highest priority.

 

Our employees therefore receive regular training on data protection and are obliged to comply with special confidentiality obligations. In addition, we continuously monitor compliance with data protection regulations.

The participating Baloise Companies will take reasonable steps to ensure the protection of your personal Data and comply with the data protection standards in accordance with the applicable guidelines in each case. This also applies if you apply for positions in countries outside your home country, whereby your Data is transmitted across national borders and processed by Baloise Companies for the purposes specified below.


“Processing” refers to any handling of your Data, regardless of the means and procedures used, including, in particular, the acquisition, retention, use, alteration, disclosure, archiving or destruction of the Data.


In order to inform you in a transparent manner about how your Data is processed and to enable you to better understand the individual stages of data processing, we are pleased to describe below the way in which the Baloise Companies process your Data in the course of the job application process.

 

1.      General information on data processing


1.1.      Data provided by you

 

We process the following Data entered in Taleo by you:

  • Personal contact details (e.g. name, address, telephone number)
  • Data regarding your qualifications / education or training
  • Data regarding previous and current employers within the legal framework (e.g. pursuant to your employment reference letter or with regard to reference requests)
  • The information contained in any additional written application and references (e.g. to third-party sources) in the accompanying documents.

 

We also process Data that you provide us with during the recruitment process (e.g. information given during interviews).

 

1.2.      Data provided by third parties


If you make reference to third-party sources in your application documents or during the recruitment process (e.g. your own homepage or third parties acting as references), we may consult these third-party sources and process the Data collected there within the legal framework.


1.3.      Purposes of the data processing


1.3.1.   Use for specific purposes

 

Your Data will be used by us for the purposes which we indicated to you when we collected it or if we are obliged to do so by law.


1.3.2.   Processing for administration of the application process (Art. 6 (1) (b) of the GDPR)

 

The Baloise Companies collect, store and process your Data insofar as this is required for the administration of the application process and with regard to initiation of the employment relationship. This specifically includes data processing with regard to personnel recruitment, the recruitment process and subsequent onboarding and to aid internal mobility in the context of any subsequent employment relationship.


1.3.3. Processing in relation to subsequent vacancies (Art. 6 (1) (a) of the GDPR)

 

With your consent (directly in Taleo or upon request by us), we may also consider your Data for subsequent vacancies within the Baloise Companies that match your profile.

The consent to the processing of your Data for this purpose is given voluntarily. You have the right to revoke the consent given to us at any time. If you revoke your consent, this does not affect the legality of the processing undertaken on the basis of your consent up until the revocation. The revocation does not affect the mandatory legal rights of Baloise with regard to data processing.


1.3.4 Surveys on the quality of the recruitment process (Art. 6 (1) (a) of the GDPR)

You consent to being contacted by us in the context of surveys relating to the assessment of our image as an employer and the evaluation of our application and recruitment processes, for the purpose of measuring and improving their quality.


The consent to the processing of your Data for this purpose is given voluntarily. You have the right to revoke the consent given to us at any time. If you revoke your consent, this does not affect the legality of the processing undertaken on the basis of your consent up until the revocation. The revocation does not affect the mandatory legal rights of Baloise with regard to data processing.


1.4.      Transfer of your Data to other Baloise Companies

(Art. 6 (1) (f) of the GDPR)


If you apply for a specific position, your Data may be processed by authorised employees of the recruiting Baloise Company. When making your application, you can, however, specify other preferred locations of the Baloise Companies, which will then also have access to your Data. If you do not apply for a specific position, but simply register without selecting at least one preferred work location, your Data will likewise be transmitted across national borders to other Baloise Companies. In doing this, our legitimate interest is in ensuring more effective internal administration within the Baloise Group and in providing you with the greatest possible chance of being assigned to a vacant position. The employees of the Baloise Companies will process the Data you provide only for the intended use described. They are obliged to maintain the confidentiality of this Data.

 

1.5.      Third parties (processors) commissioned at home and abroad

 

In order to optimise the application process for you, some of our services and business functions are carried out on our behalf by legally independent companies at home, and in some cases, abroad (e.g. Data may be processed for the automatic registration of application documents or for the implementation and storage of online assessments, or our systems may be accessed for IT maintenance purposes and Data processed at the locations of support companies at home and abroad.

 

These service providers (processors) are also contractually obliged to adhere to the defined purposes of the data processing. We will conclude a contract with these service providers (processors) that corresponds to the requirements of Art. 28 of the GDPR.

 

Your Data will not be disclosed to any other third parties unless there is a legal obligation to do so.

 

1.6       Your rights in relation to your Data

 

If you wish to receive information about your personal Data that is processed by us, you can to do so by submitting to us your written request for information with an enclosed copy of your identity card or passport. You can also view your Data to some extent in Taleo at any time.

 

You can ask us to correct any incorrect Data or complete any incomplete Data, or you can correct or complete it yourself in Taleo at any time.

 

You can also request the erasure of your Data, provided we are not required by applicable law or regulations to retain it.

 

You have the right to demand the restriction of the processing of your Data, pursuant to the legal conditions. In this case, we will no longer process your Data, except in terms of storing it and subject to the assertion of legal claims.

 

In all cases where the data processing is based on your consent, you have the right to revoke your consent at any time. If you revoke your consent, this does not affect the legality of the processing undertaken on the basis of your consent up until the revocation.

 

In addition, you have the right to lodge a complaint with the responsible data protection authorities.

We may also contact you periodically to ask you to update your personal information so that we can provide you with the best possible information about job offers that may be of interest to you. Please note that manually or automatically generated email messages sent to the email address provided by you are unencrypted and are not marked as private.

 

1.7.      Retention period

 

Your Data will be retained, in accordance with our erasure guidelines, only for as long as this is required for achievement of the aforementioned purposes or for as long as we are authorised or legally obliged to retain it. This means that we automatically erase your Data no later than within 30 months of the last time you updated your profile or after you have been turned down for a position by us.

 

1.8.      Changes to this information on data processing

 

We reserve the right to amend or supplement the present information on data processing at any time.

 

If we process your Data for a purpose other than that for which the Data was collected, we will inform you in advance about this other purpose in an appropriate manner.

 

We will inform you of any change to this information on data processing at least 30 days before the change comes into effect. Users already registered in Taleo will not be automatically notified in such cases. However, the next time you log in to the career portal, you will be asked to read and accept the current version of this information on data processing.

 

2.      Data security

 

2.1.      Confidentiality

 

We treat your Data (e.g. contract and claims details, IP address) as confidential and comply with the applicable data protection provisions. In addition, we base our work on recognised security standards e.g. ISO 27001.

 

The inputting of your Data and the transmission of the Data between the Baloise Companies and the central database is carried out over the internet using a secure transmission protocol (128-bit encryption). The Data is stored in a data centre within the European Union.

  

2.2.      Internet risks

 

In transferring Data via the internet you are acting at your own risk. We protect the Data you transmit via our webpages during transit by means of suitable encryption mechanisms.

 

In addition, we take appropriate technical and organisational security measures to reduce the risks within our websites. However, your device is outside the security area that we are able to control. You are therefore obliged to inform yourself about the required security precautions and to take suitable measures in this regard.

 

2.3       Email encryption

 

We will send you requested information by email if you have provided us with your email address. Confidential information is provided in encrypted form. If information cannot be shared in encrypted form via email, we will use other channels for this purpose (e.g. the customer portal or ).

 

If you use our customer contact form, your Data will be sent to us in encrypted form.

 

2.4.      Blocking of access

 

In the event of security risks being identified, we explicitly reserve the right to temporarily suspend or, in severe cases, to block access to our webpages until the security risks have been eliminated. We do not accept any liability for any loss or consequential losses arising from the suspension or blocking of access.
